Our Booking Platform & Hosting

Our website, online booking, client accounts, and clinical records run on our own secure platform. Health information and treatment notes are encrypted, access is limited to authorized staff on a need-to-know basis, and treatment-note access is logged for accountability.

Our platform is hosted on managed infrastructure whose data centres are located in the European Union. This means personal information and personal health information may be stored or processed outside Canada while being protected with access controls, encryption, backups, and audit logging.

Website Analytics & Cookies

Our public website pages (marketing, shop, and online booking pages) use Google Tag Manager and related analytics cookies to understand how visitors find and use our site — for example, which pages are visited and how people arrive from search or advertising. These tools run only on public pages: they are never present on your client account, your forms, or any page containing your health information. Analytics data is aggregated visitor-behaviour data and does not include your medical records. You can decline or clear cookies in your browser at any time without affecting your ability to book or receive services.

Security of Your Information

We take appropriate physical, technical, and administrative measures to protect your personal and health information from unauthorized access, use, alteration, or destruction. Our premises and data systems are secured and monitored to prevent data breaches. We use secured sites to store information. Please note that no method of electronic transmission or storage is 100% secure, and we cannot guarantee absolute security.

Access and Accuracy of Your Information

You have the right to access and update your personal information at any time. If you believe any of your information is incorrect, incomplete, or outdated, please contact us to correct it.

Under Canada's Personal Information Protection and Electronic Documents Act (PIPEDA), you also have the right to access the personal information we hold about you. Please contact our office if you wish to obtain a copy of your information.

Retention of Personal Information

We will retain your personal and health information only for as long as necessary to fulfill the purposes for which it was collected or as required by law. Once your information is no longer required, we will securely dispose of it in compliance with applicable laws.

Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, or legal requirements. Any updates will be posted on our website, and the revised policy will take effect immediately upon posting.
